Split invoice on multiple lines

Note: To split invoices, you need to have the correct user, Role. Each team should have a dedicated invoice splitter

 

1. Go to Kompas

2. On your Home page there will be a link under "Work items assigned to me"

3. Pressing on the link, will show you a window with all the work items assigned to you.

4. Click on the ID number for the relevant invoice

5. Make sure to check the invoice documentation by pressing the paperclip in the upper right corner

8. Doing so will show all the attachments for Vendor invoices which you can review

9. To be able to split the invoice, you need to press on the "Number" to get to the correct window

10. Press one more time on the invoice number

11. This will open a detailed overview of the invoice;

12. To split the invoice, you must press "+ Add line" under the section "Lines"

13. In the new line, fill out "Procurement category", "Quantity", "Unit" (ALWAYS stk.), and "Unit price"

      a. If you work on international project, fill out "Donor cost Classification"

      b. Remember to change the unit price in the original line

14. Remember to make sure that the sum of "Unit price" is equal to "Posted amount"

15. Mark the first line. Thereafter go to "Line detail" at the bottom

16. Fill out "Text", "Project ID", "Project category", and, if applicable, "Activity number"

     a. If you are unsure about the required information, as your project manager and/or project controller

     b. All types of expenses begin with "24 XXX"

17. Repeat step 12 to 16 for the other split lines

18. Once all the lines have been completed, go to the top of the screen and press "Save"

19. Now you can submit the invoice to the workflow.

     a. Depending where in the process you are, the invoice can be "Completed", "Approved", or                             "Submitted"

20. The invoice will now have to approved by your manager.
