How to delegate your workflow to multiple colleagues while you are on leave

When you go on leave, you might have to delegate your Kompas workflow to multiple colleagues.  

 

For example, you might want one colleague to approve timesheets, one to approve expense and one to approve invoices.

 

  1. From the home page, press on the 'gear' icon in the top right screen. Thereafter press "User options"

  1. Press on "Workflow" on the left side of your screen

  1. Under "Delegation" press on "+ Add"

  1. After you have added a line, press on the little arrow to the right of "All". Now choose "Workflow"

  1. Press on the arrow under "Name", where you have to select the workflow you want to delegate to a given colleague

  1. Here is the overview over all (relevant) workflows you can delegate to colleagues
    • Only 4 workflows are relevant to delegate, as the rest of the workflows are automatically processed by the system

000001 - Arbejdsgang for kreditorfaktura (EN. Workflow for vendor invoices)

This workflow is for approval of all the invoices that are not split. The delegate will both receive invoices for accounting and approval

000061 - Udgiftsrapport (EN. Expense reports)

Workflow for approval of all the expense reports you receive for approval

000071 - Arbejdsgang for kreditorfakturalinjer (EN. Workflow for vendor invoice lines)

Workflow for approval of all the (split) invoice lines you receive

 

- Should be combined together with workflow 000001

000072 - Gennemgå timeseddelarbejdsgang (EN. Review timesheets) Workflow for approval of timesheets

 

  1. After you have chosen the relevant workflow you want to delegate, you need to choose the delegate. You do that by either writing your colleagues email (Without @rodekors.dk) or by looking the colleague up on the list by pressing the little arrow and selecting the colleague form the list

  1. The last stem is to choose the timeframe for your delegation. You need a start and an end date. Complete your set up by putting a check mark under "Enabled"
    • You can also choose the date by pressing on the small calendar under the start and end date

  1. You can add more lines as needed. To do so, just follow step 3 to 8, until you are not finished

 

An example of how a split workflow can look like

 

In the example, user 'majoe' will receive all the timesheets and expense reports, that where sent to me. At the same time, all the invoices will go t user 'deter'. Both the users will receive my workflows in the period 01/07-2023 to 20/07-2023
